What is Microsoft 365?
Microsoft 365 is a suite of online products provided as a set of cloud-based subscription services. The subscription includes automatic software updates to ensure that subscribers always have access to the latest version.
Access to the service is based on a tiered licence structure that provides different levels of access to various software products depending on the licence obtained. Microsoft 365 is designed to be flexible. Configurations vary widely, depending on how a specific public office intends to use it.
Software services commonly part of the Microsoft 365 suite include:
- Email services (e.g. Outlook, Exchange online)
- Hosted services (e.g. Teams, SharePoint, and the browser-based Office Web Apps suite)
- Office applications (i.e. access to the current versions of the Office desktop applications)
- Collaboration tools (e.g. OneDrive, SharePoint, Teams, and Viva Engage)
- Artificial intelligence tools (e.g. CoPilot and Loop)
- Centralised security, identity and control tools (e.g. Purview, Entra, Defender).
Managing records in Microsoft 365 guideline
Managing Records in Microsoft 365: A guide for Victorian public offices (the M365 Guideline) was developed by M365 expert Andrew Warland to address managing Victorian government records within the M365 environment. Andrew Warland is an experienced consultant with extensive expertise in effective recordkeeping within the M365 environment.
The M365 Guideline is a useful resource about the recordkeeping capabilities and limitations of M365 for those implementing or currently managing a M365 environment. It covers:
- The different parts of Microsoft 365 and how they relate to managing records
- Administration and governance for Microsoft 365, including roles and responsibilities
- Configuration of Entra, M365 admin centres, Exchange Online admin centre, Teams admin centre, and SharePoint/OneDrive admin centre
- Architectural approach to managing records in SharePoint
- Compliance in Microsoft Purview
- Recommended retention policies.
As Microsoft 365 is an evergreen system and changes often, Andrew Warland updates the M365 Guide periodically to ensure that it remains current.
